Privacy notice

This is a courtesy translation. The Spanish version (Aviso de privacidad) is the legally binding one and prevails in case of any difference.
Host Heaven is responsible for the personal data you share with us, and processes it in accordance with Mexico's Federal Law on the Protection of Personal Data Held by Private Parties (LFPDPPP). This notice explains what we collect, why, who we share it with and how you can exercise your rights.
01Who is responsible for your data
Host Heaven, with its address at Ciudad de México, CDMX, is responsible for processing your personal data. For anything related to this notice, write to hola@hostheaven.mx.
02What personal data we collect
When you request a quote, book a meeting or become a customer, we may collect:
- Identification and contact details: name, company or property name, phone or WhatsApp number and email address.
- Delivery details: the delivery address (street, neighbourhood, borough or municipality, state and postcode) and any access instructions you give us.
- Commercial details: the products and quantities you ask about, the size of your operation and, if you book one, the meeting’s date, format and notes.
- Billing details, only if you become a customer: legal name, RFC, tax address and tax regime, to issue invoices (CFDI).
- Browsing data, only if you accept analytics cookies — see “Cookies and similar technologies”.
We do not ask for sensitive personal data (such as health, religious or political information), and we ask you not to include it in the notes fields.
03What we use it for
Primary purposes — necessary for the service you ask for:
- Preparing, sending and following up on your quote.
- Contacting you about your quote or order by email, phone or WhatsApp.
- Scheduling the meeting you book and sending you its invitation and video-call link.
- Processing orders, coordinating deliveries and issuing invoices.
- Meeting our legal, tax and accounting obligations.
Secondary purpose — only with your consent: measuring how the website is used so we can improve it, through analytics cookies. You can refuse or withdraw this at any time without it affecting your quote or the service.
We do not use your data for advertising, and we do not sell it. If we ever wanted to use it for a purpose not listed here, we would ask for your consent first.
04Who we share it with
We use service providers who process data on our behalf and under our instructions, only for the purposes above:
- Hosting and infrastructure providers that run this website and our systems.
- Google (Google Workspace): email, calendar and video calls (Google Meet) for the meetings you book.
- Alegra: preparing quotes and issuing electronic invoices.
- Trello (Atlassian): coordinating deliveries internally.
- Google Analytics and Microsoft Clarity, only if you accept analytics cookies.
Some of these providers may store data on servers outside Mexico. Beyond them, we only share your data with third parties when the law requires it — for example, with tax authorities (SAT) or at the request of a competent authority — which does not require your consent.
05Your rights (ARCO) and how to withdraw consent
You have the right to Access your personal data, Rectify it if it is inaccurate, Cancel it when you consider it is not being used properly, and Object to its use for specific purposes. You can also withdraw your consent, and limit how we use or disclose your data.
To do so, email hola@hostheaven.mx with:
- Your name and an email address or other means to reply to you.
- A copy of an official ID, or proof of your representative’s authority if someone applies on your behalf.
- A clear description of the data and the right you want to exercise.
- Any document that helps us locate your data, such as your quote reference.
We will reply within 20 business days of receiving a complete request and, if it is granted, apply it within the following 15 business days. Some data we must keep to comply with legal obligations, even after a cancellation request.
06Cookies and similar technologies
This site only stores, in your browser, the choice you make about cookies. With your permission it also uses Google Analytics (pages visited, where the visit came from and device type, in aggregate) and Microsoft Clarity (clicks, scrolling and anonymised session recordings, with form fields masked). Nothing loads until you accept.
You can change your choice at any time from the “Cookies” link in the footer, or with the button at the end of this page. You can also block or delete cookies from your browser settings.
07How long we keep it
We keep your data for as long as needed for the purposes above. Quotes that do not become orders are kept for a reasonable period for follow-up; customer and billing data are kept for the periods tax law requires (generally five years). After that we delete or anonymise it.
08Changes to this notice
We may update this notice when the law, our services or our providers change. Any change will be published on this page, with the date of the last update at the top.
09Authority
If you believe your right to the protection of your personal data has been infringed, you may go to the competent authority for personal data protection in Mexico.
